Programme Committee Members

DNS-OARC has a Programme Committee of 7 volunteers whose role is to solicit and review material for OARC Workshops. The current members are:

Programme Committee Charter [WIP]

The DNS-OARC workshops (typically biannual events) are the organization’s flagship activity and the quality of the content is of utmost importance. The content is selected by a Programme Committee (PC) composed of individuals from the DNS-OARC community.

Responsibilities

The PC is responsible for:

  • Issuing a "call for presentations" (CFP) prior to each workshop.
  • Promoting the CFP and actively soliciting presentations from the community.
  • Evaluating the submissions to decide which presentations to accept or reject, while striking a balance across all aspects of DNS-OARC's mission.
  • Interacting with submitters and documenting accepted/rejected presentations.
  • Shepherding accepted presenters and providing feedback on draft presentations.
  • Scheduling the workshop programme.
  • Chairing the sessions and introducing speakers.
  • Participating in post-meeting evaluations.
PC members are expected to actively participate in the presentation selection process and be responsive on all other PC matters. PC members who are unable to fulfill their duties are expected to resign their position.

PC members are strongly encouraged to attend the workshops, although it is not required. PC members are not compensated for time or travel expenses, but may (at the Board’s discretion) benefit from complimentary workshop attendance.

Membership

The PC shall consist of a minimum of Seven (7) voting members appointed by the DNS-OARC Board of Directors.

In addition the following persons may be present at PC meetings in a non-voting capacity:

  • A Board member acting as advisor to the PC and Liaison to the Board.
  • A DNS-OARC Staff member acting as organization Liaison.
  • The DNS-OARC President.
  • Up to two liaisons (to be approved by the DNS-OARC Board) from any third party organization that is operating a joint event with DNS-OARC, for the duration of that event’s planning stages

Nominations and Appointments

The DNS-OARC Board of Directors shall issue a call for PC nominations after every second workshop. Persons may self-nominate, or be nominated by another individual. In the latter case the Board shall confirm the nominee's willingness to participate in the PC.

The Board shall endeavor to appoint a majority of PC members from the DNS-OARC membership. The Board may remove PC members at any time for reasons of non-performance and may fill vacancies at any time as needed.

Appointment Terms

Individuals are appointed to serve on the PC for a term of 4 workshops. An individual may serve no more than 2 consecutive terms. It shall be arranged that approximately half of the appointed PC members’ terms will expire at the end of each two workshop appointment cycle.

Chair

The PC shall choose its chair at the start of each appointment cycle.

 

Meetings

The PC shall hold monthly meetings (conference calls), beginning approximately 5 months prior to each workshop. PC meetings shall be minuted and minutes made available to the Board, on request.
